Taking appointments online
Set up services, staff and their hours, and let customers book — and pay — from your site.
Appointments turns your site into a booking page at /book. The Getting ready for bookings checklist on the dashboard shows what's still missing; work through it in this order.
Set it up
- 1Under Settings, set your Time zone first — every time on the calendar and in emails uses it — and your booking rules (below).
- 2Under Services, press New service, then set its Duration (min), any Buffer before or Buffer after, and a Price — empty or 0 for free.
- 3Under Staff, add the people who do the work. They don't need a login. Tick which services each person does, and optionally give them their own duration or price.
- 4Set each person's Weekly hours. Use Add hours for a second stretch after a break, and Copy to every day to save typing.
Booking rules
| Setting | What it does |
|---|---|
| Start times every | How often a booking can start: every 15 minutes, every hour… |
| Minimum notice (min) | How soon from now someone can book. |
| Book ahead (days) | How far into the future the calendar opens. |
| Cancel until (hours) | Until when customers can cancel themselves. 0 turns self-cancelling off. |
| Confirm bookings automatically | Off, every booking waits for your team to Approve it. |
What customers see
On /book they pick one or more services — up to five, done back to back — then who with (or Anyone available), then a time, and confirm. They sign in with a code emailed to them; no password needed. Every email links to Appointments in their account, where they can cancel until your cut-off.
For paid services, they pay by card, ZarinPal or bank transfer, depending on what you've connected under payments. An online payment holds the time for 30 minutes; a bank transfer holds it for 48 hours while you check. Paid appointments can't be cancelled online — customers are asked to contact you.
Running the calendar
- Calendar shows the day or a list, filtered to Upcoming, Needs action, Past or Cancelled.
- New appointment books someone in from the dashboard; Outside hours allows a time outside the weekly hours if nobody's booked then.
- On an appointment: Change time or staff, Approve, Mark done, Mark no-show or Cancel appointment, plus a private Team note.
- Time off on a staff member blocks days or hours. Appointments already booked stay booked, and you're warned about any clash.
Customers get emails when they book, when you confirm, move or cancel, and a reminder about a day before. Staff with an email address hear about new, moved and cancelled bookings too.
