Client organizations and their teams

Give a client company its own space on your site: departments, positions, roles, members and assigned courses.

Organizations is for training and membership sites that serve companies. Each organization gets its own chart of departments and positions, its own members, and managers who can run their own team from your site. It needs the admin role and a plan that includes organizations.

Set one up

  1. 1Press New organization, type its name and press Create organization.
  2. 2Open Roles and press Create the starter roles — Organization admin, Manager and Member — or build your own with New role. One role is the Default that new members get.
  3. 3Under Structure, add departments with New department (they can sit inside each other) and positions with New position, choosing who each position Reports to.
  4. 4Under Members, press Add member with their email, name, role, department and position. Anyone who has never signed in gets an account for that address.

What a role allows

A role is a set of permissions: See members, Add members, Move members, Suspend members, Remove members, Manage structure, Assign courses, See progress and Export reports. Each one reaches No, Their team — everyone below the person's position in the chart — or the Whole organization.

Adding many people at once

  • Import takes a CSV file of up to 1,000 rows. Only email is required; role, department and position are matched by name and are never created for you. Nobody is emailed.
  • In Settings, Email domains that join automatically lets anyone who signs in with an address at that domain join with the default role.

Assigning courses

On the organization's Courses tab, press Assign a course and choose who it's for: Everyone in the organization, A department, A position and those below it, or One person, with an optional Due date. Assigned courses are free for the people they reach, including anyone who joins later. Download progress gives you a spreadsheet of where everyone stands.

What managers and members see

Members find Your organizations in their account on your site. People whose role allows it get a Manage button that opens their team: they can Add someone, Assign a course and Download spreadsheet, but only within what their role reaches. Overdue courses show on a member's account under Overdue courses.

Extra questions and public profiles

Profile fields adds questions every member answers — short or long text, a number, a date, a phone number, a choice from a list, or a checkbox — and any of them can be Required. In an organization's Settings, Public profile shows it at /o/ followed by its address, optionally with its chart. Archive organization freezes it and stops it counting towards your plan's limit.
